Repair or Replace a Copier? Collect Four Facts First

Age is an easy place to start when a copier needs work. It does not tell you what is wrong with it now, what the fix involves, or whether the machine still suits the office.
Four facts do. Collect them before anyone argues for either answer.
1. The diagnosis
What is actually wrong? Not the message on the screen, but what the technician found. Ask for it in plain words, and ask whether it is confirmed or still being narrowed down.
That finding is the starting point for everything below.
2. The scope of the repair
What will the repair involve? Which parts, how much labor, and whether the machine can keep running while it waits. Ask for a written repair estimate and the expected downtime.
Ask what the repair covers and what it leaves alone. If the technician noted a second problem alongside the first, ask for the scope of that one too, so the comparison is not built on half the picture.
3. Parts and support for the exact model
Give the full model number, not just the brand. Then ask two questions: are parts for that model available, and how long is support for it expected to continue?
Write down the answers and who gave them, so the decision does not rest on memory.
4. Fit with the work
Set the repaired machine beside what the office now asks of it: how much it prints, color or black and white, scanning, finishing, and how many people share it.
If the office has changed since the machine arrived, a repair returns the same machine to a different job.
Putting the four together
Compare the diagnosis, repair scope, support information and office needs together. If the repair scope or support answer is still unclear, ask for clarification before deciding. Use the same requirements when reviewing a replacement.
If there is an agreement behind the machine, read what it says about service and about ending early before you decide.
