Copier Quote Checklist for South Louisiana Offices

Before approving a copier quote, put the work requirements beside it. For an office in Lafayette, Houma or Morgan City, the useful question is specific: will the equipment being quoted handle the jobs the office needs to finish?

Write those jobs down. Then ask the dealer to match each requirement to the exact model, included options and service arrangement. Keep the answers with the quote so everyone reviewing the proposal is looking at the same information.

Describe the finished job

Start with a sample of the work. Remove private information before sharing it, or make a clean sample with the same layout.

Record the details that matter:

  • Original size and required output size

  • Color or black and white

  • One-sided or two-sided printing

  • Scanning needs, including the file format and destination

  • Any stapling, hole punching or other finishing required

  • How many sets are needed and when the job must be finished

If page counts are available, include the dates they cover. Separate measured use from estimates, and describe any expected changes in the work.

Match each requirement to the quoted configuration

Ask for the full model name and a written list of included options. Put each job requirement beside the part of the quote that addresses it.

If a job needs a particular paper size, confirm that size for the proposed setup. If it needs stapling, ask which finishing option is required and whether that option is included in the price. Apply the same check to paper trays, document feeders and any software needed for the task.

Mark an unanswered question as open. Do not treat an item as included because it appeared in a photograph or was shown on a different demonstration machine.

Demonstrate printing and scanning separately

Two-sided printing puts content on both sides of an output sheet. Two-sided scanning captures both sides of a paper original. Ask to see each task the office requires on the configuration being proposed.

For a scan demonstration, check the resulting file as well as the machine. Are all pages present, in the right order and readable? Does the file arrive at the intended destination? If connecting that destination needs help from the office's IT contact, identify that work before approving the quote.

For plans or other large documents, state whether the job is printing a file, scanning a paper original or both. Check the original size and output size separately. A demonstration of one task does not establish that the other is included.

Ask what the service arrangement covers

Keep the service questions beside the equipment details:

  • Who should the office contact for a problem?

  • Which parts, labor and supplies are included, and which are excluded?

  • How are service and supplies billed?

  • What setup or staff instruction is included?

  • If a response time is quoted, where is it written and what conditions apply?

Classic Business Products offers different maintenance arrangements. Ask which one applies to the proposed equipment and have its scope identified in writing. If the proposal includes a lease or another agreement, review that document alongside the equipment quote.

Keep a short list of open questions

Before deciding, check that the written proposal identifies the equipment, required options, service scope and charges. Ask for clarification on any missing item, including delivery, setup or recurring charges, where applicable.

Keep the job sample, demonstration notes and current quote together. When comparing proposals, give each one the same requirements. A feature only belongs in the comparison if it is part of the configuration being offered.
