Who to Call When a Leased Copier Goes Down

A copier lease covers two different things. It finances the equipment, and it sets out who services it.

Sometimes one company does both. Sometimes the paperwork sits with a finance company and the technician works for somebody else.

For an office in Lafayette, Houma or Morgan City, the day to find that out is not the day the machine stops.

Two names, two jobs

Open the agreement and look for two names.

The company that takes the monthly payment. The lessor, in the language of the document. It owns the equipment for the length of the term.

The company responsible for service. Whoever sends a technician, supplies parts, and answers the phone when something jams.

If both names are the same, who to call is not a question. If they are different, somebody in the office needs to know which is which before a deadline is riding on it.

What to have written down

Three things, kept somewhere other than one person's inbox.

The service number, and whether it is the same number as the sales contact. The equipment ID or serial number the service line will ask for. And what the agreement says about service coverage.

That last one is worth reading rather than assuming. Some agreements bundle service and parts. Some bill every call. The agreement says which.

That is worth doing whether the machine sits in Lafayette, Houma, or Morgan City.

Why it only shows up on a bad day

The split is invisible while everything works. Then something jams, somebody dials the number printed on the invoice, and that number reaches whoever handles the billing. Billing does not dispatch technicians.

None of that is anybody's fault. It is what happens when the finance side and the service side live in two places and nobody had a reason to check which was which.

Reading the agreement now removes that whole detour later.

Where local changes the answer
