Copier Lease Auto Renewal Trap

An office manager in Houma opens a copier invoice and the number is higher than last month. Same machine, same usage, higher bill. She digs into the lease and finds it: a renewal clause that kicked in automatically, locking the office into another full term with a built-in rate increase nobody flagged.

This happens more than most business owners realize, and it is almost never an accident on the leasing company's part.

How auto-renewal works, and why it costs you

Most copier leases include an automatic renewal clause. If you do not formally cancel inside a specific window, often 60 or 90 days before the lease ends, the agreement renews itself. Sometimes for another full multi-year term. The window is short, it is buried in the contract, and the leasing company is not going to call to remind you.

Miss it, and you are committed again, usually on terms that favor the vendor, not you.

The escalator nobody mentions

Many leases also carry an escalator clause, a built-in annual rate increase. Five percent here, a service adjustment there. On its own each bump looks small. Across a multi-year lease that auto-renewed without anyone noticing, it adds up to real money for offices across South Louisiana.

The problem is not that these clauses exist. The problem is that most office managers never see them until the bill changes.

The one date to put on your calendar

If you take one thing from this, take this. Find your lease end date, count back 90 days, and put that date on your calendar right now. That is your cancellation window. That is when you decide, on purpose, whether to renew, renegotiate, or walk.

If you do not know where your lease is or what it says, that is the real warning sign. A lease you cannot find is a lease working against you.

What to check before you sign or renew anything

Before you commit to a new lease or let an old one roll over, get clear on a few things. When does the term actually end. How long is the cancellation window. Is there an escalator, and how much. What are the end-of-term return conditions and fees. Who handles service, and how fast do they respond.

A good provider answers all of that in plain language. If you are getting vague answers, that tells you something.
